Guidelines for Reception.

All visitors entry must be done in visitor software.

All visitors willing to meet employees or Management, then they should accompanied.

Visitors must not reach directly to the employee or Management. The receptionist should inform the employee or Management about the visitor.

Food, smoking, spitting and chewing are prohibited in the reception area.

Guidelines on Cleanliness:

The workplace environment needs to be hygienic and safe for both employees and visitors. Remember cleaning is an ongoing task. Keep in mind that cleaning up once is not enough. It’s an ongoing maintenance task that needs to be completed on a regular basis by all the employees.

Keep your place and desk absolutely neat and clean. Only Phone instrument, Pen stand, Mouse and Keyboard should be kept. Extra paper and files should be in drawer or cupboard.

Eat only at allotted place for dining i.e. terrace or basement. Never eating at your desk or work station. Eating at the workstation attracts cockroaches and insects. Only during the unavoidable circumstances or emergencies, employees can have their food at their work station. But after consuming food at work station make sure the place is deep clean and food smell does not exist.

This policy doesn’t allow to stick any paper or sticker on glass door or window but incase if it is necessary, then prior approval from the HR will be needed.

No celebration of Birthday Party or Anniversary Party inside the office premises. No cake cutting or eating snacks is permitted at workstation. Use cafeteria for celebration. After celebration, make sure that cafeteria is clean.

Dinning table should be clean by employee themselves after having lunch.

Playing with colours during Dhuleti is strictly prohibited in office premises.

Never writing with pen or pencil on the desk and chair. Please use writing pad, soft board for notes.

Do not cut paper on desk with cutter.

Make sure you don’t throw paper and wrappings here and there. Throw them in dustbin.

There are two separate dustbins kept for collecting waste materials.

Dry Waste Dustbin (Working Area) - Paper, Plastic, Rubber, Metals Leather, Cloth Rag, Wire, Glass etc. Wet Waste Dustbin (Pentry Area) - For cooked and uncooked foods, waste from fruits and flowers, dust from sweeping, tea bags, used tissue paper, tea cups.

Turn off printer, scanner, computer, light, AC when you leave for the day. Make sure the main switch is off and no charger or adapter is connected at the end of day.

During monsoon season, do not keep wet raincoat in the corridor nor on the main gate of entrance.

Guidelines on Washroom Cleanliness:

Never leave the washroom dirty.

Lock the door carefully when you are inside.

If someone is inside, don’t knock the door endlessly. Wait for the other person to come out.

Make sure do not wet the toilet seat. Do not throw water on the floor as someone might slip and get hurt.

Never forget to use flush once you are done. Do not hesitate to inform support staff if the flush is not working.

Switch off the light after leaving washroom.

Do not spit on walls.

Do not write any abuse words or comments on toilet walls.

Make sure do not throw anything in the commode. Tissue paper must be thrown inside the dustbin and not anywhere else. Sanitary napkins must be wrapped in polybags and disposed in dustbins.

Do not leave the restroom with water taps on. It is important to conserve water.

One should not smoke inside the office toilet. It leads to suffocation.

Do not throw unwanted hair or soap wrappers in the washbasin.

Ask the attendant to clean the toilet whenever it is dirty.

Guidelines on Parking Vehicles:

Park the vehicle in systematic manner. It should be in such a way that other vehicles are easily move.

Proper utilization of parking space such that all vehicles are park easily.

Vehicle should be park in such a manner that it do not cause damage to others vehicle.

Do not lock steering while parking.

Drive slowly in parking area. No reckless driving is allowed.

Company is not responsible on damage of vehicle in company premises.

Employees can park vehicle outside office premises at their own risk.

Parking areas are allot for Car as well as Bike. Bikers do not park in Car Parking Areas.

Parking vehicles in such a manner that it does not cause damage to other vehicles.

Wear Helmet every time while riding.

Buckle up seat belt every time while riding.

Guidelines on use of Company’s Assets:

The purpose of this policy is to ensure that all property maintained by JBL is kept in best possible working condition.

All employees should do their best to protect the company’s assets and ensure their effective usage. All our assets should be only used to achieve business goals and objectives. They may not be used for personal reasons.

All cases of wasting, misusing, destroying or stealing company property or engaging in unusual or illegal activities must be immediately brought to the attention of HR.

Company assets includes Computer, Printer, Scanner, Mobile Phone, Laptop, Attendance System, Air Condition, Water cooler, Xerox machine, Camera and many more.

Ask permission of HR to use company property.

Never move company’s property from the office premises without HR permission.

Immediate report to the supervisor Manager or HR on any theft, loss, tampering or misuse of company property.

The company will conduct an investigation into any lost, damage or stolen company property. Employee found

negligent or have committed theft will face disciplinary or dismissal. The company may refer the matter to the

police and seek reasonable recovery costs, including deductions from employee wages to replace the

company property.

All assets must be return to HR at the time of leaving job.

HR reserve the right to hold the salary incase of not returning the company’s asset.

Guidelines on using lift.

Make sure the lift is not overloaded with people.

In case of fire, make use of staircase don’t use lift.

Do not hold lift for more than 30 seconds on one floor.

Incase of stuck in lift, please do not panic. Call on the number mention in lift.

Don’t attempt to open the door of lift incase of lift gets stuck

Lift should be service at regular intervals.

It is advisable to use lift for reaching on 03 to 06 floors. You can use stair case for reaching 01 to 02 floor.

It is advisable to use staircase every-time when u come down.

Unnecessarily do not press lift button.

Guidelines for professional cleaning service.

Sweeping and Dusting at every floors at regular intervals (Two times in a Day).

Cleaning bathrooms of every floors at regular intervals (Two times in a Day).

Do not hesitate to inform HR if cleaning is undone or not proper.

Do not misbehave with support staff. Treat them fairly and respect it equally.

Disciplinary Action Policy:

The purpose of the disciplinary policy and procedure is to set and maintain standards of conduct within the organization, and in doing so, ensure that all employees are treated fairly and consistently. It is designed to help and encourage all employees to achieve and maintain satisfactory standards of conduct.

However, Management of Jainam retains and reserves the discretion to apply any level of disciplinary action based on the nature of offense.

The following is a general outline of the disciplinary process:

  1. Verbal Warning: An employee will be given a verbal warning when a problem is identified that justifies a verbal warning or the employee engages in unacceptable behavior.

  2. Written Warning: A written warning is more serious than a verbal warning. A written warning will be given when an employee engages in conduct that justifies a written warning or the employee engages in unacceptable behavior during the period that a verbal warning is in effect.

  3. Penalty: A monetary penalty is more serious than written warning. After verbal and written intimation, still the employee behaviour is unchanged then nominal penalty will be charge from the salary depends upon the case of misconduct.

Again, while the Jainam may take disciplinary action, it reserves the right, in its sole discretion, to decide whether and what disciplinary action will be taken in a given situation.
